Coordinating a Wedding Styled Shooting

As consequence of all the restrictions due to the pandemic our industry is one of the most affected. General events cancelled and weddings postponed on the best cases. Many vendors shifting into other industries to be able to support their household needs and others using their talents and knowledge offering different kind of services hoping to be able to stay afloat.

I was able to use that “extra” time to get certified on different areas and expand my knowledge in the industry and developing a new concept for my business.

A concept to attract those couples looking for more of an experience instead of only the usual ceremony and reception event. To showcase Puerto Rico as a beautiful destination wedding hub and offer a variety of options in where to celebrate the union.

The Idea

I was hungry to materialized the concept I had in mind. I could literally see images of what it would look like and started thinking about ways to make them real. I wanted an outdoor location, relaxed ambience but with the elegance factor. A fusion of Garden and Elegance… Gold and Blue tones to make contrast with the natural greenery.

The Planning

I started reaching out to trusted vendors of the industry. People that shared the same vision as me and asking if they would like to collaborate on the project: A Styled Shooting.

I had my doubts, if you think abut it, it is a difficult time for everyone and there are costs involved on presenting and showcasing your business. But I did it anyways and shared my project with them.

To my surprise most of them said, Yes!

I started elaborating the mood boards, pretty similar to when you work out the proposals for your clients, only that this time it was my vision. I was lucky to have the support of amazing and creative vendors that understood and liked the idea. A date was set and I just hoped for the best.

Everything was planned, confirmed and we were just waiting excitingly for the date of the event. And then, the weather forecast…

I chose an Hacienda in Utuado for the event to take place. Beautiful outdoors, it is situated between two rivers, hence the name Hacienda Dos Rios. All I was looking for, it had, trees, greenery, beautiful building with stones, wood accents and bricks. The perfect blend for my shooting. Until rain was announced, HEAVY rain. The place has indoor areas, but everything was set up and planned for an outdoor shooting.

As for any event, I was monitoring the weather, contacting the Hacienda manager and the decorator, who both live on the town, to feed me any weather information. I was aware of all the efforts and hours spent creating this shooting and it would have been a disappointment to have cancelled it, and almost impossible to re-confirmed again with the same vendors involved, due to the nature of our business. So I was really stretching out this time, trying to wait as much as possible to make any drastic decision.

I decided to adjust the timeline. Giving the out-of-town vendors time enough to get on their way, or, in the worst case scenario, enough time to cancel it if needed be. That way, nobody would waist time on a long drive for nothing. All involved where notified and we were all hoping for the best.

It’s a go!

All our prayers were heard and the rain subsided. I shared an “on my way” kind of photo edition with a new mood inspiration, anticipating a gloomy shooting day with an encouraging message, trying to keep the excitement. Everybody arrived. They all set up, and we were ready to roll.

Every shot was perfect. The ambience was one of collaboration and good moods. It stopped raining, and the clouds assisted in diffusing sunlight, so it helped the photographer, as she, herself said. I always believe things do happen for a reason!

I am currently working on the promotional and marketing strategy, and new editions to showcase, and launch our final work.
